For coaches and small business owners who get comments and messages in lots of places.
The problem
Someone comments on your post. Someone else sends a DM. Another person asked a question three days ago. You meant to get back to all of them.
But they're spread across different apps, and nothing tells you who has waited longest. So the person who waited longest is the one who gets forgotten.
Speed matters here. One study found a 32% close rate when people got a reply within 5 minutes, against 12% after 24 hours. (One study, Optifai, 2025 to 2026, via Digital Applied.)
The trap is the tool trap: lots of apps, and nothing joining them up.
The guide
I've been building marketing systems for over 3 years. This was the first thing I built to stop losing the people who find me.
What was built
A short note that tells you who to reply to first, with a reply already drafted.
- One list of people in Airtable. Everyone goes in, including comments and DMs typed in by hand.
- A "days waiting" column. It counts the days since you last spoke, or since they came in.
- Claude reads the list and writes two things for each person: a suggested reply, and the next step.
- It saves the brief as a Google Doc, so it's easy to read on your phone.
- Drafts only. Nothing is sent for you. You read it, you send each reply yourself, and the list gets updated.
Built on 25 Oct 2026, by talking to Claude, no code.

The result
- Built and tested. On its first run it found 1 person who had been waiting 5 days, and drafted a reply to them.
- It runs when asked. The daily morning run isn't switched on yet.
- Replies sent and time saved: being measured.
